How Regional Passport Agency Appointments Work

Getting an appointment at a Regional Passport Agency is the biggest hurdle in the emergency passport process. Here is exactly how it works and what you need to know:

1

Call the National Passport Information Center

Dial 1-877-487-2778 during operating hours (8:00 AM - 10:00 PM ET Monday-Friday, 10:00 AM - 3:00 PM ET Saturday). The phone lines open at 8:00 AM Eastern Time. Appointments often fill within the first few minutes, so set an alarm and call right at 8:00 AM. There is no online booking system — phone only.

2

Prove You Qualify for Emergency Processing

The agent will ask for proof that you qualify for emergency processing. You must have international travel within 14 days (or 28 days if you also need a visa). Have your flight itinerary, cruise booking, or hotel reservation ready during the call. You may be asked to email or fax proof before your appointment is confirmed.

3

Choose Your Agency Location

The scheduler will offer available locations based on appointment availability. You are not restricted to your home state — you can choose any of the 26 agencies nationwide. If popular agencies like New York, Los Angeles, or Miami are full, consider less busy options like Hot Springs, Arkansas; St. Albans, Vermont; or Tucson, Arizona for faster appointments.

4

Attend Your Appointment With All Documents

Arrive 15 minutes early with your completed application form, proof of citizenship, photo ID, passport photo, proof of travel, and payment. See the required documents section below for the full checklist. Missing documents will result in your application being rejected and your appointment wasted.

5

Pick Up or Receive Your Passport

If your appointment is in the morning and all documents are correct, you may be able to pick up your passport that same afternoon — typically within 2-4 hours. Afternoon appointments usually result in next-day pickup or overnight shipping to your address. Same-day service is not guaranteed and depends on application volume and staff availability.

What to Bring to Your Agency Appointment

Arriving with incomplete or incorrect documents is the number one reason emergency passport appointments fail. Use this checklist to ensure you have everything:

Proof of Travel

Flight itinerary, cruise booking, hotel reservation, or employer letter showing travel within 14 days. Must show your name and dates.

Completed Application Form

Form DS-11 (first-time/child) or DS-82 (renewal). Use the State Department online Form Filler. Do not sign DS-11 until instructed.

Proof of Citizenship

Certified birth certificate, naturalization certificate, or previous U.S. passport. Must be original or certified copy.

Photo ID & Photocopy

Valid driver's license, military ID, or government ID. Bring a front-and-back photocopy on 8.5x11 white paper.

Passport Photo

One 2x2 inch photo taken within 6 months. White background, no glasses, neutral expression. Get it professionally taken.

Payment

Check, money order, or credit card for all fees. Bring multiple options. Passport fee is $130 + $60 expedite fee = $190 minimum.

Skip the Appointment Hassle Entirely

If you cannot get an appointment, cannot travel to an agency, or simply want guaranteed processing without the stress, a registered passport courier can handle everything for you. They use their own pre-existing agency appointments to hand-deliver your application — no calling, no traveling, no waiting in federal building security lines.

Are there parking options near the agencies?

Most agencies are located in downtown federal buildings with limited or expensive parking. Public transit, ride-sharing, or nearby paid parking garages are recommended. A registered passport courier can bypass the appointment scramble entirely. They use their own agency appointments, handle your documents, and return your passport in as little as 24 hours — without you ever visiting a federal building.
